Visa Application Process
Persons wishing to apply for a visa should carefully read the visa requirements. The instructions given on this website are to help you prepare your documents in the best way possible. This will reduce the risk that the application is incomplete and take longer to process. Click on the process map below to read the description and understand each process step in detail.

Applicants are strongly encouraged to file their application at least 15 working days prior to the date of departure and not more than 90 days before departure. This will allow an orderly examination of the applications and limit the chances for delay in decisions on visa applications.

Step 3
Prepare your application

Complete your visa application form
  • You should submit one visa application form for each individual applying for a visa, including children. Please download a copy of the visa application form from this website.
Prepare your documents
  • Passport
    • First, check the current validity of your passport.
      The period of validity of a passport must be at least 3 months longer than that of the visa.
      The passport shall have been issued within the previous 10 years
    • Second, make sure your passport has minimum 2 blank face to face Visa pages
    • Third, Consulate General of Italy in Kolkata will not accept passports with any written observations concerning Passport number; Surname; Given Name; Nationality; Sex; Date of Birth; Place of Birth; Place of Issue; Date of Issue; Date of Expiry. Only passports with no observations can be presented. Passports must be machine readable. Handwritten passports cannot be accepted.
  • Other necessary documents
    • Know what documents you need to submit along with your visa application.

      • Please note: Information mentioned in required document section of this website is not exhaustive.

    • Translations
      • Ensure you submit documents in Italian, if required. Documents which are not in Italian must be translated into Italian.
      • Translation should be completed from certified translator.

Step 4
Book an Appointment

All applicants are required book an appointment online to submit their visa application at the Italy visa application center.
Important: As part of the visa application procedure, from 2 November 2015 applicants will need to provide Biometric fingerprint data along with a digital photograph. If you have temporary injuries on your fingers, applicants are advised to wait until the injuries have healed before you book your appointment. Henna on fingertips may also mean we are unable to get a clear scanned image and should be removed or allowed to fade before your appointment date.
Before you make an appointment you should carefully read the visa application process available on the website to submit your visa application and supporting documents at the visa application center.
If you have missed your appointment on the scheduled day, the system will not allow you to reschedule or cancel and you will require to book a new appointment after 24 hours.
Please make sure you arrive at the visa application center 15 minutes prior to your appointment time. Applicants are not allowed to be accompanied inside the visa application center. The only exceptions to this are those accompanying children under 18 years-of-age or applicants who need special assistance for health reasons or disability.
If you are part of a family or group, each member of the family or group must make an individual appointment. For example, if you are a family of 4 with 2 adults and 2 children you must make 4 individual appointments.
VFS appointment system is compatible with most popular browsers.

Step 5
Visit the Visa Application Centre

Security Regulations: read security regulation of visa application Centre
Documents: You must carry the following documents
  • Original Valid passport
  • Duly filled and signed application form
  • Two color photographs
  • All other supporting documents as mentioned in respective visa application checklist.
  • Print out of the Confirmed Appointment Letter
Collect Token: You will have to undergo with a brief security check before a token is issued.
Submission of Visa application:
  • You will be called at the submission counters as per your token number.
  • Staff will check the completeness of application and capture your application information in the system.
  • You will be issued acknowledgement receipt for your submission and payment

Step 7
Collection of passport

Modes of delivery
  • Counter delivery : If you wish to collect your passport by visiting the visa application Centre
  • Courier delivery: If you wish to receive your documents at your home or office then you can opt for this service. (Not applicable in Nepal)
    Note: Under few circumstances your passport cannot be couriered, even if you opt for it and you may have to collect it personally from the VFS Visa Application Centre.
  • For Report Back, the visa holder needs to mail a scan copy of the Visa page as well as the facing page on the passport within 7 days of his/her return from the Schengen area. Moreover, please note that a visa holder has a Report Back stamp and due to any unforeseen circumstance fails to travel to the Schengen area, even in that case, he/she has to provide the scan copy of the above mentioned pages. It is very important to send the necessary proof of return. Please note that the visa holder may face dire if he/she does not Report Back and send us the necessary proof of return.
